Project Coordinator - Commercial Construction

Alpharetta based Commercial Construction firm is seeking a Project Coordinator/Admin Support to support our Project Managers in delivering service to our customers. We’re looking for someone who’s organized, reliable, and excited to jump in and help keep our projects and team running smoothly. This role starts with handling admin tasks and supporting our project managers, with plenty of room to grow into a full project management role. This is an on-site position, Monday - Friday, 8am - 5pm.


What You Will Do:

  • Keep our projects and paperwork organized (scheduling, filing, updating spreadsheets).
  • Help track deadlines, budgets, and progress updates.
  • Communicate with team members, clients, and partners to keep everyone on the same page.
  • Take meeting notes, prepare reports, and make sure details don’t slip through the cracks.
  • Pitch in wherever needed — from small daily tasks to supporting big projects. • Learn the ropes of project management and gradually take on more responsibility.


Some of the Specific Tasks You Will Jump Into Right Away:

  • Preparing and sending contracts, change orders, and project documents.
  • Comparing invoices to Purchase Orders.
  • Updating project schedules and keeping timelines current.
  • Coordinating with subcontractors and vendors on project needs.
  • Tracking budgets and logging costs against projects.
  • Assisting with compliance items like safety documents and manuals.
  • Following up with clients to make sure they have the information they need.
  • Supporting the project team with reporting and job updates. 


Qualifications

  • 4-year college degree preferred, but not required
  • Must have extensive computer experience.
  • Working knowledge of graphics software applications is preferred (Adobe Acrobat, etc.).
  • Previous admin or coordination experience, especially in the construction industry, is great, but not required — we’re happy to train the right person.
  • Experience with or knowledge of Viewpoint Vista & Viewpoint ProContractor or similar financial/accounting systems is a plus.
  • AI training, TogalAI, AutoCad, takeoff and project manager software a PLUS.
  • Must be self-motivated, detail-oriented, and stay organized
  • Must work well independently or in a team environment.
  • Excellent communication (verbal and written), time management, organizational and problem- solving skills required - you’re comfortable emailing, calling, and following up.
  • Ability to juggle multiple tasks without losing track and make decisions within established guidelines and policies.
