IFA Administrator
Clients trust this practice with the decisions that shape their financial lives—retirement, protection, mortgages, and workplace benefits. Advisers can only deliver that calm, jargon-free advice if the work behind it is accurate, timely, and complete. As IFA Administrator, you keep cases moving, records reliable, and clients feeling looked after from first enquiry to ongoing review.
Performance Objectives
- Prepare complete, compliant client files so advisers can present recommendations without chasing missing facts, forms, or evidence.
- Progress new business and reviews to agreed service standards, clearing outstanding items before they delay advice or implementation.
- Keep client and policy data accurate across systems so valuations, illustrations, and annual reviews reflect the true position.
- Coordinate provider, platform, and insurer requests so applications, switches, and claims are submitted right first time.
- Support workplace pension and employee-benefit administration so employer schemes stay on track for auto-enrolment and ongoing servicing.
- Protect client confidentiality and regulatory standards in every letter, call, and file note you handle.
Environment & Resources
You will sit with experienced Chartered Financial Planners and independent advisers, supporting both individual wealth planning and corporate employee benefits. Work spans investments, retirement, protection, mortgages, and group schemes for clients across the UK, from a multi-office practice. You will use established advice, CRM, and provider platforms, with clear processes, adviser oversight, and peer support rather than a large back-office bureaucracy. The role reports to the advice leadership team.
Essential Qualifications
- Proven administration in financial advice, wealth, pensions, protection, or employee benefits—not general office work alone.
- Working knowledge of the advice journey: fact-find, research pack, application, implementation, and review.
- Accuracy under volume: you can prioritise a diary of deadlines and leave a file another person can pick up.
- Confident, plain-English communication with clients, advisers, and providers by phone and in writing.
- Sound judgement on data protection, conflicts, and when to escalate a compliance or suitability concern.
- Comfort with CRM, spreadsheets, and provider portals; formal financial-planning study is useful, not required.
Role Selling Points
- Independent advice across personal planning and workplace benefits, not a single product line.
- Close to advisers and clients—your work is visible in the quality of the recommendation, not buried in a processing factory.
- A people-first culture that expects ethical conduct and clear language, not sales pressure.
- Breadth: pensions, protection, investments, mortgages, and group schemes in one practice.
- Room to deepen technical knowledge alongside Chartered planners.
