The Position:
Summit Search Group has partnered with The Manitoba Chambers of Commerce (MCC) on the search for a highly organized and experienced Executive Assistant to support the organization's executive operations and strategic initiatives.
Reporting to the VP of Finance & Operations, this position provides executive, governance, financial and project administration support across the organization. Working closely with senior leadership, Program Directors and project teams, the Executive Assistant plays an integral role in supporting the day-to-day operations of MCC and its strategic initiatives.
While executive support to the President & CEO is a core responsibility, this is a broad role that works across the organization, providing executive, governance, financial, operational and project support. The successful candidate will be proactive, highly organized and resourceful, with the ability to anticipate needs, exercise sound judgment and effectively manage competing priorities.

Key Responsibilities:
· Manage the President & CEO's calendar, travel arrangements, meeting schedules and executive correspondence.
· Provide end-to-end administrative support for Board of Directors and Committee meetings, including scheduling and logistics, preparation and circulation of agendas and meeting materials, draft minutes, action-item tracking and maintenance of official governance records.
· Support the day-to-day operations of MCC through executive and administrative coordination.
· Maintain office inventory, coordinate supplies and ensure common areas, meeting rooms and the office kitchen remain organized, stocked and presentable.
· Work closely with Program Directors/Managers to provide administrative support for MCC's strategic initiatives including Manitoba AI Pathways, Economic Development Tours, Manitoba Mineral
· Development Fund (MMDF) and other organizational projects/ initiatives.
· Prepare reports, presentations, briefing notes, correspondence and other executive documentation.
· Assist with the preparation and administration of grant agreements and support research related to funding applicants.
· Prepare invoices for memberships, events, sponsorships, publications and advertising.
· Complete daily banking, recoveries and maintain petty cash.
· Provide backup support for membership invoicing and renewals.
· Coordinate meetings with members, government representatives, funding partners and external stakeholders.
· Serve as the first point of contact for members, visitors and partners, delivering exceptional customer service.
· Maintain organizational databases, records and filing systems while ensuring accuracy and confidentiality.
· Coordinate meeting logistics, including catering, room bookings and meeting materials
· Prepare name badges, tent cards and other materials for meetings and events.
· Provide administrative support at business breakfasts, conferences, Board meetings, networking events and evening functions.
· Work collaboratively across the organization to ensure projects, events and operational priorities are delivered effectively.
· Other duties as assigned
Qualifications:
· Minimum seven (7) years of progressively responsible executive administrative experience.
· Experience supporting senior executives and Boards of Directors.
· Demonstrated experience preparing Board agendas, meeting packages and formal meeting minutes.
· Experience with financial administration, including banking, invoicing, accounts receivable and recoveries.
· Exceptional writing, editing and document preparation skills.
· Highly organized with the ability to manage multiple competing priorities while maintaining exceptional attention to detail.
· Advanced proficiency in Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams and SharePoint.
· Experience working in a professional association, government, post-secondary institution, Crown corporation or not-for-profit organization is considered an asset.
· Experience supporting grant-funded projects is considered an asset.
· An understanding of artificial intelligence (AI) technologies and experience using AI-enabled tools in a professional environment are considered assets.
