Summit Search Group has partnered with O&T Farms to recruit a Senior Office & Executive Administrator for its Winnipeg office. O&T Farms is a growing agricultural processing and ingredient company serving customers across North America and internationally.

Working closely with the Vice President of Sales & Marketing, the Senior Office & Executive Administrator will anticipate needs, bring practical solutions and ensure business priorities continue moving forward. Combining office leadership, executive support and sales and marketing coordination, the role will help create the structure and consistency needed to support the company’s continued growth.

This is a key position for an experienced administrative professional who brings sound judgment, commercial awareness and a high degree of ownership. The successful candidate will understand the broader business priorities, recognize what needs attention and take initiative to move work forward. They will be equally comfortable supporting executive-level activities and handling the details that keep the office organized and responsive.

Key Responsibilities

• Take ownership of the day-to-day administration of the Winnipeg business office, establishing effective workflows, coordinating priorities and ensuring consistent follow-through.
• Provide comprehensive executive support to the Vice President of Sales & Marketing, including calendar management, travel planning, meeting preparation, correspondence and tracking of business commitments. Anticipate upcoming requirements and ensure information and materials are ready when needed.
• Support sales growth by coordinating customer follow-up, samples, product information and internal requests. Prepare business reports, presentations and sales summaries that help the team monitor activity, identify outstanding items and advance priorities.
• Coordinate communication across sales, customer service, marketing and operations, helping ensure customer commitments and business deadlines are met.
• Oversee trade show and conference coordination, including planning, registrations, budgets, travel, promotional materials, booth logistics and follow-up activities.
• Work closely with marketing agencies and external partners to coordinate advertising, website updates, newsletters and sales materials, ensuring activities are completed accurately and on schedule.
• Maintain organized business records, coordinate sales documentation and improve administrative processes as the company grows. Identify potential issues early, recommend practical solutions and follow through on implementation.

Qualifications

The ideal candidate will bring approximately eight to ten or more years of progressive experience in senior administration, executive support, office coordination or business support, with demonstrated responsibility for a broad range of activities.

They will have a proven ability to support senior leadership, exercise independent judgment and manage competing priorities with limited direction. Strong communication skills, discretion and attention to detail are essential, together with the confidence to ask thoughtful questions, recommend improvements and take action within their responsibilities.

The successful candidate will connect day-to-day activities to broader business objectives and bring a practical, solutions-focused approach. They will be comfortable working in an entrepreneurial environment where priorities evolve and dependable follow-through matters.

• Strong Microsoft Office skills, including Excel, Outlook and PowerPoint, are required.
• Experience preparing business reports and presentations, coordinating trade shows or supporting sales and marketing activities would be valuable.
• Experience in agriculture, food ingredients, manufacturing, distribution or international business would be an asset.
