Administrative Marketing Coordinator
We are seeking an enthusiastic and detail-oriented individual to join our marketing team in this entry-level role. In addition to gaining hands-on marketing experience, this position will serve as the first point of contact at our front desk, assisting with administrative tasks to support smooth office operations.
Description
- Sits at the front desk and greets all visitors (clients, vendors, delivery personnel, etc.) and directs each visitor appropriately
- Answers main switchboard and routes calls to the proper person and/or voice mail for multiple office locations
- Coordinates Lunch and Learns with vendors (scheduling room space, tracking attendees, overseeing delivery and setup of lunch)
- Receives and distributes inbound mail and handles outbound mail and packages
- Oversee general front desk operations, including answering and screening phone calls and handling mail
- Manage procurement and inventory of office supplies, refreshments, and branded marketing materials
- Maintain and update the CRM system, ensuring accurate records, including resumes for proposals
- Develop and schedule regular social media content for Facebook and Instagram to enhance brand presence
- Assist in the creation and coordination of presentations, proposals, and reports
- Organize and manage marketing collateral, promotional materials, and event supplies
- Coordinate the ordering of branded merchandise, including hard hats, vests, and career fair materials
- Provide administrative support for marketing initiatives and special projects as needed
- Monitor and manage PE certifications to ensure compliance and timely renewals
Qualifications
- Related degree or relevant experience preferred
- Must have clear speaking voice and communication skills
- Accepts direction and supervision and must work well with others
- Computer competency. Knowledge of Microsoft Office 365 (Outlook, Calendar, Teams, Avaya Phone System, etc.) Adobe InDesign experience helpful
