About the Position

The Divisional Events Specialist reports directly to the Divisional Secretary for Public Relations or Divisional Manager of Marketing and Communications and is responsible for managing the divisional special events, initiatives including coordinating marketing plans.

Responsible for executing marketing plans that build public awareness of special events and increase fundraising benchmarks. This includes creating insights, monitoring event trends, building marketing strategies and plans, developing, and executing integrated marketing initiatives for events, working within the allocated budget, and measuring/improving in-market results.


KEY RESPONSIBILITIES:

Event Planning, Management, Execution & Logistics:

  • With the guidance of the DSPR or Manager of Marketing and Communications, develop marketing plans that enhances event and special initiatives brand awareness, secure brand merchandise, develop community partnerships, acquire new attendees, donors, meet strategic objectives, design all event components, and increase fundraising results if applicable
  • Ensure funding for events is achieved, including any sponsorships, ticket sales and/or fundraising
  • Serve as logistical lead for divisional events and activities, such as concerts, golf tournaments, galas, leadership breakfasts and campaign launches; serving as event producer to ensure programs are executed according to established event plan and schedule
  • Recruits and manages all event volunteers.
  • Liaise with divisional leadership to understand what resources are required, such as appropriate venue, registration process, participants, and guest accommodation
  • Coordinate all event planning committees, meetings, minutes, and reporting
  • Coordinate all creative design for events and support department graphic design needs. Liaise with divisional communications team and external agencies as required
  • Secure and ensure any audio/visual support required is available
  • Ensure access for internal/external communications teams approved to provide coverage of the event
  • Work within event budgets, complete all event budget reconciliation & reports, and seek approval for any additional expenses
  • Assist with event travel needs: Transportation, meals, and accommodations
  • Other event, marketing, and communications duties as assigned

 

Community Partnerships, Vendor Management, Divisional Support/Liaison, & Reporting:

  • Work with and alongside Marketing/Communications and Development team to enhance and promote events fundraising initiatives
  • Work with Divisional Public Affairs to establish and maintain proper government protocol when organizing special events
  • Support ministry unit events by supplying them with event best practices, advertising assets for divisional events, offering recommendations on how they can best complement the event marketing strategy, and providing ongoing coaching and training opportunities
  • Ensure all event equipment, supplies and materials are in good, ready to use, condition at all times
  • Establish effective relationships with community partners, external vendors & suppliers to ensure the event marketing plan is executed efficiently and within budget
  • Maintain consistent processes for measurement and evaluation, such as data reporting, analytics and insights, to support future special event marketing decision-making
  • Ensure that special event donors, participants, volunteers, staff, and suppliers receive prompt and appropriate follow-up at the completion of each event/initiative

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Completion of a diploma in events management; an alternative level of education and experience will be considered
  • Minimum 3-5 years professional experience in special events and special event marketing.
  • Strong event performance measurement skills
  • Experience with event planning and logistics
  • Proven ability to recruit, lead and develop a team of volunteers and staff in the planning and execution of events
  • Possess a Class 1 driver's license or be willing to obtain one within one year of the hire date.

  • Ability to and willingness to work in a consultative, diplomatic manner
  • Ability to and willingness to participate in training sessions, presentations, and meetings
  • Ability and willingness to be flexible to work hours outside of regular work hours/schedule to accommodate events

Salary and Benefits:

  • Salary Range: $51,868 to $67,835.
  • Benefits Include: Full benefits package available after three months.
  • Position type: Full-Time, Permanent Hybrid (Some flexibility to work from home on certain days).
  • Location: 103 – 3833 Henning Drive, Burnaby BC V5C 6N5.
  • Vacations: 3 weeks per year.
