 A growing mission-driven nonprofit is seeking a highly organized and experienced Executive Assistant to provide high-level administrative and operational support to 3 senior-level executives. This role is ideal for an executive assistant who is accustomed to supporting senior executives, managing competing priorities, and serving as a trusted gatekeeper and point of contact. This is a full-time, hybrid, temporary to permanent role based in Chicago, IL.

LOCATION: Chicago, IL

POSITION TITLE: Executive Assistant

SCHEDULE: Hybrid 3 days in person, 2 days remote

DURATION: Temporary to Permanent

HOURLY RATE: $36/hr - $40/hr DOE


Is This Your Dream Job?  The Executive Assistant will manage complex calendars, coordinate meetings and communications, prepare materials, support special projects, and help ensure the Pastoral leadership team operates efficiently and effectively. 


 Our Ideal Candidate:


  • 5–7 years of experience as an Executive Assistant, Senior Executive Assistant, or similar administrative role.
  • Previous experience directly supporting a CEO, President, Executive Director, Senior Executive, or other C-suite leader is required.
  • Exceptional calendar management, organization, prioritization, and time-management skills.
  • Strong written and verbal communication skills.
  • Experience managing confidential and sensitive information.
  • Strong proficiency with Microsoft Office/365, including Outlook, Word, Excel, and PowerPoint.
  • Experience using Zoom for virtual meetings and executive communications.
  • Experience with SharePoint, document management, and shared file systems.
  • Ability to manage multiple priorities and shifting deadlines in a fast-paced environment.
  • Strong attention to detail and follow-through.
  • Excellent interpersonal skills and a service-oriented approach.
  • Ability to exercise independent judgment, anticipate needs, and work proactively with limited supervision.
  • Previous experience working in a faith-based or mission-driven organization is a plus.


How You Will Spend Your Day:


Executive Support

  • Provide comprehensive administrative support to the 3 senior leadership staff
  • Manage complex calendars, scheduling, appointments, and meetings.
  • Coordinate internal and external meetings, including preparing agendas, materials, and follow-up items.
  • Serve as a professional liaison between leadership, staff, organization members, community partners, and external contacts.
  • Manage incoming communications and correspondence, prioritizing matters requiring attention.
  • Prepare documents, presentations, reports, correspondence, and other materials.
  • Track deadlines, commitments, and follow-up items to ensure timely completion.


Meeting & Event Coordination

  • Coordinate staff meetings, leadership meetings, ministry meetings, and special events.
  • Manage meeting logistics, including scheduling, invitations, agendas, materials, technology, and follow-up.
  • Coordinate virtual meetings using Zoom and ensure technology is prepared and functioning properly.
  • Assist with special projects, organization initiatives, conferences, and other activities led by leadership.


Administrative & Operational Support

  • Organize and maintain confidential files, records, and correspondence.
  • Manage documents and shared resources using SharePoint and other Microsoft Office tools.
  • Assist with preparing presentations, spreadsheets, reports, and other executive materials.
  • Maintain organized systems for tracking projects, priorities, contacts, and deadlines.
  • Support communication and coordination across departments and ministry teams.
  • Identify administrative needs proactively and develop solutions to improve efficiency.
