A mission-driven trade association is seeking a detail-oriented and self-motivated Administrative Assistant to join our team. Reporting directly to the CEO, the assistant plays a vital role in growing member engagement, increasing sales of association products and services, coordinating educational programs and events, and supporting volunteer-led committees. This is a full-time, In-person, temporary-to-permanent role, located in Crystal Lake, IL.

LOCATION: Crystal Lake, Illinois

POSITION TITLE: Administrative Assistant

SCHEDULE: 40/hours a week, 9 am -5 pm with some remote work 

DURATION: Temporary to Permanent

HOURLY RATE: $20/hr

 Our Ideal Candidate:

  • 1+ years of experience in sales, business development, event planning, association management, nonprofit operations, or a related field.
  • Experience working in a nonprofit, trade association, or small-office environment preferred.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
  • Proficiency with Microsoft Office Suite, Zoom, and virtual meeting platforms.
  • Experience with email marketing platforms, social media, and digital communications.
  • Familiarity with graphic design software, accounting systems, and event management tools is a plus.
  • Self-motivated, adaptable, and able to work independently while collaborating effectively with a small team.
  • Ability to travel periodically for conferences, trade shows, and industry events.



How You Will Spend Your Day:

  • Prospect and generate new business opportunities for advertising, sponsorships, exhibits, educational programs, and event registrations.
  • Conduct outreach through phone, email, virtual meetings, and in-person interactions.
  • Follow up on leads and inquiries to increase sales and member participation.
  • Develop marketing materials, presentations, sales collateral, and promotional campaigns.
  • Maintain accurate CRM records, sales pipelines, campaign tracking, and reporting.
  • Assist with invoicing, payment processing, and sales-related financial tracking.
  • Build and maintain strong relationships with members, sponsors, exhibitors, and industry partners.
  • Coordinate logistics for association conferences, workshops, educational programs, and chapter meetings.
  • Manage event registrations, attendee communications, vendor coordination, contracts, and venue relationships.
  • Create promotional materials, including flyers, registration forms, email campaigns, and event communications.
  • Support on-site event execution, registration management, and attendee experience.
  • Maintain event calendars, online registration systems, and post-event evaluations.
  • Serve as a primary point of contact for members and prospective members.
  • Respond promptly to inquiries and provide exceptional customer service.
  • Gather member feedback and identify opportunities to improve programs and services.
