Metcalfe, an award-winning experience design studio dedicated to thoughtful design and a collaborative studio culture is seeking an Office Manager to manage a variety of critical administrative, human resources, and operational functions. This role plays a vital part in maintaining the smooth daily operations of the studio while supporting staff and project teams.
The Office Manager will work closely with the partners, project managers, and staff to ensure HR policies, payroll, benefits, project and contract administration, as well as client invoicing and operational functions are executed seamlessly.

Office Manager Responsibilities:
- Oversee company human resource functions, including payroll processing, onboarding/offboarding, insurance plan administration, maintenance of employee records including architectural licensing and serve as point of contact for HR related questions.
- Provide project and contract administration support to project managers and vendors including preparing and maintaining contract and vendor documents.
- Collaborate with project managers on monthly invoicing ensuring accuracy of hours and billing phase of the project align with the contract terms.
- Enter invoices in billing and invoicing software and reconcile project billing, vendor payments and track for overages or remaining balances.
- Set up all projects in Core (project management system).
Office Manager Qualifications:
- 5+ years of experience in an Office Manager role including administrative, human resources, and operations support—ideally in an architecture, design, or professional services firm.
- 2+ years of experience with contract management, invoicing processes and billing software required.
- Strong working knowledge of human resources/payroll platform-Gusto preferred.
- Understanding of employee benefits administration, payroll compliance, and human resources best practices.
- Experience in architecture, design or professional services firm a plus.
- Highly organized with excellent attention to detail and follow-through.
- Strong interpersonal skills; able to communicate clearly and effectively.
- Comfortable working in a collaborative, fast-paced, creative environment.
