Key Responsibilities:
- Office Operations & Administration:
- Manage daily administrative tasks to ensure smooth office operations.
- Maintain office records, job files, and document management systems.
- Oversee incoming and outgoing correspondence, including calls, emails, and mail.
- Customer & Vendor Coordination:
- Act as the primary point of contact for customers, insurance adjusters, subcontractors, and vendors.
- Ensure timely and professional communication between all stakeholders.
- Schedule and track job progress, maintaining customer satisfaction throughout the project lifecycle.
- Financial & Accounting Support:
- Utilize Accounting Software to process invoices, manage accounts payable/receivable, and track financial transactions.
- Assist in payroll processing and maintain financial records as needed.
- Estimating & Job Management:
- Assist project managers with job tracking, contract documentation, and insurance claims.
- Ensure compliance with industry standards, including insurance restoration guidelines.
- Team Support & Office Culture:
- Assist leadership in developing office policies, improving workflow efficiency, and enhancing team productivity.
- Support field staff and project managers with administrative needs.
- Maintain a positive and professional work environment, fostering strong relationships with colleagues.
Job Requirements:
- Experience & Industry Knowledge:

2+ years of experience in the insurance restoration industry.
- Familiarity with restoration project processes, including water, fire, mold, and storm damage claims.
- Technical Skills:

Experience with Accounting Softwares and financial record-keeping.
- Strong Microsoft Office Suite (Word, Excel, Outlook) skills.
