Overview:
We are seeking a highly skilled and proactive Executive Support Specialist to support our Executive
Leadership Team. This role requires exceptional organizational abilities, sound judgment, and a high
level of discretion. The ideal candidate will thrive in a fast-paced environment and is passionate about
enabling executive effectiveness and operational excellence.
Key Responsibilities:
Executive Support & Representation
• Coordinate executive travel, including detailed itineraries and timely expense reporting
• Represent the leadership team with professionalism in all interactions with internal and external
stakeholders, including customers, vendors, and staff.
• Respond to the ad hoc needs and requests made by the leadership team.
Calendar, Communication & Relationship Management
• Take ownership for protecting and prioritizing the time of multiple executive’s calendars, always
looking ahead to optimize time and focus.
• Proactively review, manage and respond to communication needs in the voice of the recipient.
• Oversee gifting and personalized outreach, ensuring timely and thoughtful engagement with
community members and proactively represent leadership in key relationship moments.
Executive Community Presence
• Search, discern and secure executive attendance at high-impact events within key business
communities.
• Exercise sound judgment in reviewing and prioritizing incoming event invitations and external
requests, ensuring alignment with the organization’s strategic network and community focus.
Operating Rhythm & Meeting Coordination
• Manage the leadership team’s operating rhythm: own annual schedule of key company
meetings, facilitate meeting agendas, schedule and coordinate executive offsites, and always
ensure strong follow-through.
Other Duties
• Plan and execute leadership events such as executive offsites, Board of Advisors meetings, and
customer dinners.
• Identify and implement process improvements that enhance efficiency and clarity for the
leadership team.
• Uphold the highest standards of integrity, discretion, and follow-through in all aspects of the role.
Qualifications:
• Proven experience as an Executive Assistant or in a similar high-level administrative role.
• Exceptional organizational and time-management skills.
• Strong written and verbal communication abilities.
• Proficiency in Microsoft Office Suite and collaboration tools.
• Ability to manage multiple priorities with grace and efficiency.
• High level of professionalism and discretion.
