Edgewater Technical Associates is seeking qualified candidates for an Administrative Specialist (Administrative Assistant) opportunity to support Hanford Mission Integration Solutions (HMIS) in Richland, WA in support of the Hanford Mission Essential Services Contract (HMESC).

SUMMARY

·       Under general supervision, perform a variety of administrative functions in support of management and staff.

·       Receive and screen visitor and telephone calls, providing information and handling issues that may require sensitivity and the use of sound judgment.

·       Gather, prepare, and issue quality and timely correspondence, reports, and presentation materials to ensure product contains zero defects before delivery, ensuring OUO markings are used where applicable.

·       Use initiative and judgement during manager’s absence to see that matter’s requiring attention are referred to delegated authority or handled in a timely manner to minimize the effect of the manager’s absence.

·       Maintain calendars and schedules, schedule meetings and coordinate conference rooms; coordinate the manager’s interface with other personnel, company organizations, clients, and external groups.

·       Prepare travel and training requests, make and confirm travel and other arrangements for conference and business trips, compile expense reports and request reimbursement of expenditures as appropriate.

·       Provide continuous effort to improve office operations and streamline work processes and work cooperatively and jointly with all levels of management and staff to provide quality customer service.

·       Support managers with tracking completion of employee requirements such as Employee Job Task Analysis (EJTA) forms, timesheets, required training, contract deliverables, correspondence action items and responses, etc. as requested.

·       Initiate correspondence working folders for contract deliverables and other correspondence action items that are assigned to their organizations. This includes management of the Correspondence & Action Tracking System (CATS) process for their organization, such as the initiation of tasks and flow of routing through completion to meet due dates.

·       Excess of government equipment to nationalization when applicable.

·       Create and maintain up-to-date desk procedures.

·       Update and maintain organization webpages and SharePoint Sites.

·       Maintain supported manager’s organizational charts.

·       Order and maintain supplies.

·       Other administrative duties as assigned.

 

REQUIRED QUALIFICATIONS

·       High School Diploma or equivalent, plus at minimum of ten (10) years administrative and / or office support experience, and/or combination of experience and education in lieu of experience.

·       Must possess ability to conduct work scope with discreetness and strict professional confidentiality.

·       Proficient computer skills in Microsoft Office to include Word, Excel, Outlook, PowerPoint, and Teams.

·       Calendar management, word processing and presentation development skills.

·       Must possess strong, professional, and effective, written, and verbal communication skills with all levels of management and personnel.

·       Must possess strong attention to detail in a highly technical and complex work environment.

·       Ability to evaluate and prioritize work activities to accomplish task within a timely manner, while able to account for impacts of decisions made.

·       Ability and experience in providing administrative support in areas of corrective action management, correspondence systems, and metric tracking.

·       Must possess strong organizational skills.

·       Must have previous experience directly supporting a manager.

 

DESIRED QUALIFICATIONS

·       Microsoft Outlook Proficiency: Skilled in managing calendars and appointments for a Director (minimal time commitment) and three Managers, as well as efficiently organizing and prioritizing email correspondence on behalf of managers or teams.

·        Microsoft Teams Proficiency: Proficient in using Teams for chats, meetings, calls, file sharing, and other collaborative functions; comfortable leveraging Teams as a primary communication tool.

·       Note Taking: Ability to accurately capture and document meeting discussions, decisions, and action items.

·       Presentation Preparation: Experienced in creating and formatting professional presentations to support various business needs.

·       Attention to Detail: Demonstrates meticulous attention to detail in all tasks, communications, and documentation.

·       Proactive and Self-Directed: Proactively addresses support needs with minimal direction, anticipates management team needs, and seeks opportunities to assist within scope.

·       Collaboration and Backup Support: Works well with other administrative professionals and provides backup support as needed.

·       Executive Support Experience: Prior experience supporting Vice Presidents, Presidents, or other senior leaders in large organizations.

·       Technical Proficiency: Experience with tools such as Adobe Acrobat Pro, IDMS, Crystal Reports, and/or Visio.

·       Technology and Virtual Work: Comfortable working with mobile devices, laptops, computer peripherals, and in a virtual telework environment.

·       Records Management: Previous experience with records management processes and correspondence handling.

·       Hanford Site Experience: Prior experience working at the Hanford site and familiarity with its systems is highly desirable.

 

Site Access and Work Hours

Hanford personnel at Hanford Site work a standard 4/10 schedule. The standard work week consist of ten (10) hours of work between 6:00 a.m. and 4:30 p.m. with one-half hour designated as an unpaid period for lunch, Monday through Thursday. Work performed outside normal operating hours shall be coordinated and/or approved through the BTR and/or the contract Specialist prior to performing the work.

 

Compensation

Salary is commensurate with education and experience between $34.36/hr.- $36.88/hr.
