Event Manager
Duties/Responsibilities:
• Organize and oversee the planning and execution of client-focused gatherings, ensuring all components are delivered on time and according to expectations.
• Partner with stakeholders to define event goals, logistics, and specific requirements.
• Maintain ongoing coordination between planning committees, internal teams, venues, suppliers, guest presenters, and attendees.
• Draft and distribute venue request proposals on behalf of clients.
• Research potential event spaces and accompany leadership on site inspections to support decision-making.
• Identify, vet, and contract third-party vendors for accommodations, venues, AV, catering, décor, accessibility services, safety personnel, printing, and more.
• Collaborate with senior leaders to create and maintain event financial plans.
• Oversee budgeting activities, expense tracking, and invoice approvals.
• Negotiate service contracts and secure the best terms for event locations and logistics.
• Lead the development of branded materials for each event, such as visuals for social platforms, presentation templates, directional signs, etc.
• Manage sponsorship and exhibitor engagement, including outreach, tracking deliverables, and onsite needs.
• Supervise event execution to ensure objectives are met and troubleshoot any issues in real-time.
• Ensure adherence to safety, legal, and health regulations; secure required permits or approvals when applicable.
• Stay updated with current practices and innovations in event production through continued learning and professional development.
• Guide on-site teams to deliver smooth, attendee-centered experiences.
• Perform operational duties according to internal planning documents.

Education and Experience:
• Bachelor’s degree in hospitality, Meeting, and Event Planning or related field required

• At least two years of experience in event planning

• Must be able to stand and walk for long periods of time during events.
• Must be able to lift up to 25 pounds at times.
• Must be able to work a variety of hours in order to accommodate events.
