Executive Assistant - Kenner, LA
The Executive Assistant to the CEO and President will be expected to provide high-level administrative and personal support in a fast-paced, dynamic environment. Responsibilities will include managing the CEO and Presidents’ calendar, coordinating travel and logistics, handling confidential communications, and assisting with both professional and personal tasks.
The Executive Assistant is expected to demonstrate exceptional organizational skills, discretion, adaptability, and a proactive mindset. This role requires a high degree of professionalism, attention to detail, and the ability to anticipate needs and solve problems independently. This person will report directly to the CEO and the President.
Job responsibilities will include:
Core Responsibilities

Calendar & Schedule Management: Coordinate and maintain the CEO/ President’s calendar, including meetings, appointments, and travel.

Communication Liaison: Serve as the primary point of contact for the CEO, Screen calls, emails, and messages; draft and respond on behalf of the CEO/ President.

Meeting Preparation: Organize and prepare materials for meetings, prepare agenda, take minutes, and follow up on action items.

Travel Coordination: Arrange travel itineraries. Book flights, accommodations, and prepare detailed itineraries and logistics.

Email & Correspondence Management: Draft, review, and manage communications on behalf of the CEO.

Document preparation: Draft correspondence, reports, presentations, and briefing materials.

Confidential Support: Handle sensitive information with discretion and maintain confidentiality at all times.
Strategic, Organizational & Operational Support

Project Management: Assist with special projects, including research, data analysis, and reporting.

Board Support: Prepare materials for board meetings, coordinate logistics, and maintain board records.

Event Planning: Organize company events, leadership offsites, and executive team meetings.

Document Management: Create and maintain filing systems, reports, and presentations.

Expense management: Track receipts, prepare reports, and manage reimbursements.

Liaison role: Coordinate with internal teams and external partners on behalf of the CEO.
