Job Summary:


We are seeking a highly organized and detail-oriented Document Controller to join our team in Dubai. As a key member of our project management team, you will be responsible for managing and controlling all project-related documents for our high-end commercial office fit-out projects. You will ensure proper document control processes are followed, maintain records, and support compliance with company and regulatory standards.


Key Responsibilities:


  • Document Management: Organize, manage, and track all project documentation, including contracts, drawings, specifications, RFIs, submittals, and correspondence.
  • Filing & Archiving: Maintain a structured filing system (electronic and hard copies) to ensure easy retrieval and compliance with company policies.
  • Version Control: Ensure all documents are up to date, correctly labeled, and distributed to the relevant stakeholders while preventing unauthorized modifications.
  • Compliance & Standards: Adhere to company document control procedures, ISO standards, and client requirements for document management.
  • Communication & Coordination: Work closely with project managers, designers, contractors, and suppliers to ensure timely submission and approval of documents.
  • Software & Systems: Use document control software (such as Aconex, Procore, or SharePoint) to manage workflows and document tracking.
  • Reports & Logs: Maintain logs of incoming and outgoing documentation, update project records, and generate reports as needed.
  • Confidentiality & Security: Ensure document security, control access, and manage sensitive project information in compliance with company policies.


Qualifications & Experience:


  • Minimum 3-5 years of experience in document control, preferably within the fit-out, construction, or interior design industry.
  • Strong knowledge of document control procedures, ISO standards, and project document management systems.
  • Proficiency in document control software.
  • Excellent organizational skills with strong attention to detail.
  • Ability to work under pressure and meet deadlines in a fast-paced environment.
  • Strong communication skills in English (written and verbal); knowledge of additional languages is an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience working in Dubai or the GCC region is preferred.
