About the Role

We are seeking a proactive and organised Purchasing & Logistics Executive to join our Abu Dhabi office. This role is critical in ensuring the smooth procurement, import, and delivery of office furniture products from our global brand partners to clients in the UAE. The ideal candidate will have experience handling purchasing, shipping, and logistics in a trading or dealership environment

This role requires close collaboration with design, project, and accounts teams to ensure all materials meet project specifications and quality standards.

 

Key Responsibilities

·     Procurement & Supplier Management

·     Source, evaluate, and negotiate with local and international suppliers to obtain competitive pricing and favorable terms.

·     Prepare purchase orders (POs) and ensure timely approvals.

·     Maintain supplier database and monitor supplier performance.

·      Inventory & Material Management

·     Coordinate with project and design teams to ensure timely availability of required materials.

·     Monitor stock levels and reorder supplies when necessary.

·     Maintain accurate records of purchases, pricing, and delivery schedules.

·     Logistics & Shipping Coordination

·     Handle import and export documentation in compliance with UAE customs regulations.

·     Coordinate with freight forwarders, shipping lines, and transporters for timely delivery.

·     Manage logistics scheduling, integrating transportation and delivery planning to ensure all orders are fulfilled on time across multiple locations, balancing capacity, routes, and priorities while considering delivery areas, timings, and inventory locations to optimize efficiency and customer satisfaction.

·     Ensure smooth clearance of goods through customs and ports.

·     Cost & Budget Control

·     Obtain competitive quotations to control costs.

·     Track purchase and logistics expenses against approved budgets.

·     Identify opportunities for cost-saving in procurement and logistics operations.

·     Compliance & Documentation

·     Ensure all procurement and logistics activities comply with UAE trade and customs regulations.

·     Maintain proper documentation for audits, supplier payments, and import/export records.

·     Handle insurance, warranty, and service agreements where applicable.

·     Vendor & Contract Management

·     Negotiate and manage supplier contracts and service level agreements.

·     Build and maintain strong vendor relationships for long-term partnerships.

·     Internal Coordination

·     Work closely with accounts department to process supplier invoices and ensure timely payments.

·     Coordinate with project, design, and operations teams to align purchases with business needs.

·     Verify that all supplier Proforma Invoices (PIs) are reviewed and approved by the design team to ensure all products conform to the specified finishes and project requirements.

·     Reporting & Analysis

·     Prepare periodic procurement and logistics reports for management review.

·     Highlight risks such as shipment delays, price fluctuations, or supply shortages.

·     Recommend process improvements to optimize efficiency

 

 

Requirements

·     Bachelor’s degree in supply chain, Business Administration, or a related field.

·     Minimum 3–5 years of experience in purchasing and logistics, ideally within trading, furniture, interiors, or related industries.

·     Strong knowledge of import/export processes, shipping documentation, and UAE customs procedures.

·     Proficiency in MS Office and ERP/logistics software.

·     Excellent organisational and communication skills.

·     Strong negotiation skills and attention to detail.

·     Ability to manage multiple priorities under tight deadlines.

·     Based in Abu Dhabi (or willing to relocate).
