Job Summary:
The Front Office Administration Manager is responsible for managing daily operations of the front office to ensure efficient workflows, exceptional client service, and effective support to internal teams. This position plays a key role in maintaining an organized, welcoming, and professional environment for clients and staff alike.
Key Responsibilities:
- Supervise front desk and administrative staff, ensuring coverage and performance.
- Oversee client check-ins, appointment scheduling, and general inquiries to ensure a smooth customer experience.
- Manage office supplies inventory and ordering, maintaining vendor relationships.
- Ensure front office cleanliness, organization, and safety standards are upheld.
- Support internal communications, meeting coordination, and calendar management.
- Improve and maintain administrative systems and procedures.
- Handle incoming and outgoing mail, email, and document management.
- Assist with basic reporting and documentation tracking.
- Provide training and day-to-day support to front desk personnel.
- Collaborate with other departments for scheduling support and workflow coordination.
- Foster a friendly, efficient, and client-focused front office culture.
Qualifications:
- Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
- Minimum of 3 years’ experience in administrative support or front office management.
- Strong organizational, problem-solving, and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and other administrative tools.
- Experience in a fast-paced, customer-facing environment preferred.
