POSITION OPPORTUNITY - Executive Assistant

We currently have an opening for an executive assistant to assist our General Counsel & Head of Business Affairs,

as well as provide legal and administrative support for our Business & Legal Affairs department. We seek a highly

engaged candidate who is capable of handling a busy executive desk.

Essential Duties / Responsibilities

• Handle all administrative matters and executive support-related tasks for a senior and junior executive

• Heavy scheduling and calendar management utilizing Outlook for internal and external meetings,

including updating contacts, and greeting guests

• Provide phone coverage, coordinate ad-hoc and scheduled conference calls, and manage call lists

• Complete monthly credit card expense reports and manage back-up receipts

• Book travel and make other reservations and appointments as needed

• Prepare agendas and supplemental documents for meetings

• Liaise between legal and finance on various tasks

• Review and summarize chain-of-title documents and agreements

• Manage and file various documents with the U.S. Copyright Office

• Generate and track trademark applications

• Provide administrative and legal support for up to 3 attorneys

• Ongoing management and maintenance of physical and electronic company and business affairs, legal,

and production files

• Process and track NDAs

• Carry out rights management and contract administrative duties, including maintaining deal status charts

and electronic and physical files, assisting with legal delivery of pictures, tracking option expiration dates,

and processing payment obligations

Qualifications

Education/Training: BS/BA degree required. Minimum of 5 years of administrative support to a senior executive.

Minimum of 1 year of Entertainment/Industry assistant experience in film and/or TV strongly preferred. Minimum

of 1 year of legal-related assistant or paralegal experience strongly preferred. (No JD required).

Related Experience: Previous experience as an executive assistant, administrative assistant or secretary

Software: Proficiency with Microsoft Office and other common PC applications

Knowledge/Skills/Abilities: Ability to work independently and as part of a team and take on new tasks with high

level of difficulty. Outstanding Communication (written and verbal) and Interpersonal skills. Ability and

willingness to interact effectively with a range of constituencies within and outside the department and divisions.

Ability to be an effective team member and juggle multiple priorities and several concurrent projects. Extremely

organized and detail-oriented with ability to prioritize and plan ahead to meet deadlines, without hesitancy to ask

for direction or assistance/guidance from supervisors. Excellent planning, organizing, and project management

skills. Comfortable in taking on new tasks, handling multiple tasks simultaneously in a deadline driven department.
