Job Description for EA to COO/Legal Project Manager

Position Overview
We are seeking a highly organized, proactive, and execution-oriented Executive Assistant to the COO to support the operational leadership of a fast-growing fitness franchisor. This role is equal parts strategic executive support, project coordination, and legal compliance operations. You will act as a trusted partner to the COO—anticipating needs, keeping priorities moving, and ensuring the business runs smoothly as we scale. Key Responsibilities
Executive & Operational Support
- Manage the COO’s calendar, meetings, travel, and priorities with precision
- Serve as a gatekeeper and liaison between the COO and internal teams, franchisees, vendors, and partners
- Prepare agendas, presentations, reports, and follow-up documentation
- Track action items and ensure accountability across departments
- Draft internal communications, summaries, and updates on behalf of the COO
- Handle expense reporting, invoices, and administrative tasks with accuracy
- Support meeting logistics, conferences, and internal events
Legal Support, Compliance & Operations
- Support cross-functional operational initiatives such as technology rollouts, franchise system updates, process improvements
- Organize and maintain operational documentation, SOPs, and leadership files
- Support legal team and COO in compliance initiatives with Franchisees
- Contract administration and legal documentation support
Project & Communication Coordination
- Coordinate timelines, deliverables, and communications for key projects
- Maintain dashboards, trackers, and status updates for leadership review
- Keep systems, files, and processes organized and efficient
- Assist with franchisee communications and internal leadership meetings as needed
Qualifications
- 4+ years of experience as an Executive Assistant supporting senior leadership (COO, CEO, President, or equivalent)
- Experience in multi-unit, franchise, retail, or service-based organizations preferred
- Experience working in a law firm for supporting General Counsel
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- High level of discretion and professionalism
- Tech-savvy (Google Workspace, Microsoft Office, Excel, project management tools)
- Ability to anticipate needs, think ahead, and solve problems independently
