Client Overview:
Karla is an amazing entrepreneur, and she is looking for an amazing unicorn to take over administrative tasks so she can stay in her zone of genius!
Client Requirements:
- Must be able to work any 4-hour block between 1:00 pm and 8:00 pm Central Time (US) Sunday through Thursday
- Must be able to work 20 hours weekly
- Must have experience with administrative assistance or any similar role
- Must KNOW how to manage spreadsheets
- Must have EXCELLENT written and verbal communication skills
- Must have EXCELLENT attention to detail
- Must be super organized
- Detail-oriented with a commitment to quality control
- Must be female
- Shopify experience is a plus, but Karla is happy to train you, too!
- Sewing knowledge for customer service is a plus

Responsibilities/Tasks:
Customer Service
- Respond to customer inquiries via phone (retail and wholesale), email, and social media (Facebook, Instagram, Patreon)
- Monitor and organize email inboxes (answering requests or forwarding to the person who needs to know)
- Order supplies
Content & Social Media
- Create and schedule social media posts, stories, and reels
- Answer questions and engage with audiences across platforms
Scheduling & Travel Coordination
- Manage travel logistics (flights, hotels, Airbnb, product shipping)
- Plan and organize travel schedules for Karla’s special exhibit
- Project manage the schedule to give Karla’s team enough time to produce by launch date
Administrative Support
- Manage contracts, insurance, and shipping documents
- Send follow-up emails and reminders
- Work with their accountant to get state sales tax ID #s
- Maintain and update the spreadsheets of all Challenge participants, Finalists, Trunk Shows, labels, etc.
- Create Tasks for employees
Shopify Management
- Make sure the company’s 2 Shopify sites (retail and wholesale) are working together seamlessly.
- Spot-check for broken links or mistakes
- Create and manage product listings
- Control inventory
- Make sure the Apps are functioning and worth it
- Use Shopify analytics to extract actionable insights (e.g., best-selling colors, regional trends)
- Use data to create Production Schedule
- Optimize the site for SEO
- Track continuity of a product addition or change through the entire chain of platforms
