About the Role: 

We’re looking for someone to help filter leads, sort bid invites, perform takeoffs (measure materials and labor needed), create project estimates, send quotes, and support the Sales & Operations team. You’ll work with software to analyze data, forecast costs, and track project details. You’ll also be the go-to person for submitting and tracking RFIs (Requests for Information) as part of the bidding process.


Requirements:

  • Able to work Monday-Friday, 8am-5pm ET (40 hours/week).
  • 3+ years of related experience or coursework.
  • Skilled in Takeoff Software (Bluebeam, Planswift, Stack Estimating).
  • Experience with Construction/Bidding Platforms (Construct Connect, Procore, Building Connected, Buildertrend).
  • 3+ years using Google Suite (Docs, Sheets, Calendar).
  • Strong written and verbal communication.
  • Great attention to detail and organization.
  • Fluent in English (Spanish is a plus).
  • Experience with HubSpot or similar CRM is preferred.
  • Experience using Slack and ClickUp is a plus.

What You’ll Do:

  • Review and prioritize incoming bid invitations.
  • Work with the team to decide which projects to pursue.
  • Help set up meetings and site visits before projects start.
  • Use construction plans to create accurate material and labor takeoffs.
  • Prepare detailed estimates and quotes.
  • Send quotes to clients and follow up to find out why bids were won or lost.
  • Collect feedback to improve future estimates.
  • Use software for data analysis, forecasting, and budgeting.
  • Manage RFIs—submit questions and track responses to clarify project requirements.
  • Conduct follow-ups, as needed: call or email clients and general contractors to check bid status, negotiate terms (as directed by the owner), and document all communications; support closing but not full sales
