KēSTA I.T. is seeking a Recruiting Coordinator skilled in managing Recruiters and Hiring Managers.

Job Title: Recruiting Coordinator (Contract / Temp-to-Hire)

Location: San Jose, CA (Hybrid – 2 days/week onsite)

Position Summary:

We are seeking a highly organized and detail-oriented Recruiting Coordinator for a contract / temp-to-hire opportunity in San Jose, CA. This hybrid role requires in-office presence two days per week and remote work on remaining days. The Recruiting Coordinator will support the Talent Acquisition team by coordinating interviews and serving as a liaison between recruiters and hiring managers. This position is ideal for someone who enjoys working in a fast-paced environment and thrives on keeping things running smoothly behind the scenes.

Key Responsibilities:

• Schedule and coordinate interviews across multiple departments by working directly with hiring managers and recruiters.
• Manage complex and busy calendars, ensuring interview logistics are handled efficiently and professionally.
• Communicate with candidates to confirm schedules, provide details, and ensure a smooth and positive experience.
• Proactively identify and resolve conflicts or delays in scheduling.
• Work with hiring managers to find available times, often negotiating and adjusting to fit candidate and team needs.
• Maintain accurate and timely data entry in the applicant tracking system (ATS) and scheduling tools.
• Provide administrative support to the Talent Acquisition team as needed.

Qualifications:

• 1–3 years of experience in a recruiting coordination, HR support, or similar administrative role.
• Exceptional attention to detail and strong organizational skills.
• Excellent communication skills, both written and verbal.
• Ability to manage competing priorities and work efficiently under pressure.
• Comfort with navigating multiple calendars and time zones.
• Proficiency with Microsoft Outlook and common ATS platforms, Workday is preferred.
• A positive, team-oriented attitude and a high level of professionalism.

Additional Details:

• This is a contract / temp-to-hire position.
• Candidates must be able to work onsite in San Jose, CA two days per week, with the remaining days remote.
