Workplace Facilities Coordinator


Schedule: Part-Time


We’re looking for a proactive and detail-oriented Facilities Coordinator to help manage the day-to-day functionality and upkeep of our office space. This position ensures that all office environments are safe, orderly, and optimized for continuous, around-the-clock operations. The ideal candidate will play a vital role in maintaining a professional and efficient workspace by overseeing maintenance efforts, coordinating with external vendors, and supporting a high standard of office cleanliness and usability.


Key Responsibilities:


  • Serve as the primary point of contact for internal maintenance needs and external service providers.
  • Maintain the appearance and operation of the office environment to ensure cleanliness, safety, and readiness at all times.
  • Handle incoming service requests from staff and ensure quick and effective resolutions.
  • Develop and implement maintenance schedules for building systems, fixtures, and equipment.
  • Monitor safety protocols and enforce facility compliance with company and regulatory standards.
  • Track facility-related inventory such as cleaning supplies and equipment; reorder items as necessary to avoid shortages.
  • Coordinate with third-party vendors and contractors to ensure repairs or services are performed to expectations, on budget, and on time.
  • Proactively identify areas for improvement and provide input on upgrades or optimizations.
  • Support other team members and departments as needed with facility-related tasks and logistics.
  • Perform additional tasks or duties as needed, in alignment with the evolving needs of the business.


What We’re Looking For:


  • A minimum of 2 years of experience in a similar facilities or office operations role.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent attention to detail with a focus on professionalism and quality service.
  • Skilled communicator who can work well with both internal teams and external partners.
  • Resourceful, self-motivated, and capable of working independently or collaboratively.
  • Solution-oriented mindset with a demonstrated ability to address problems proactively and effectively.
  • Comfortable working in a dynamic environment with occasional shifting responsibilities.
