Client Overview:
Atalia is an amazing coach and human being. She is looking for a unicorn who can help her with administrative tasks so she can stay in her zone of genius.
Client Requirements:
- Must be able to work 20 hours/week, with potential to increase hours eventually
- Must be able to work 1-5pm Pacific Time (US)
- Must have experience ghostwriting email communications for executives.
- Must work well under pressure and thrive in dynamic, always-changing environments. Must be able to pivot quickly and juggle multiple priorites at once with minimal oversight.
- Must be an EXCELLENT and succinct written communicator.
- Must be a quick learner, self-driven, and autonomous
- Must have experience with administrative assistance or any similar role
- Must have high attention to detail and accuracy
- Must be tech-savvy
- Must be organized, while also flexible enough to pivot quickly
- Experience with specific tech like Monday and Calendly is preferred

Responsibilities/Tasks:
Administrative and Customer Support:
- Ghostwriting and Communications: Communicate with sales leads and clients via email and text messages in the founder’s voice. Respond to emails from leads and clients with various questions and scenarios (i.e. needing to reschedule, payment issues, etc). Must be comfortable handling nuanced scenarios that don’t always fit neatly into SOPs. Flag situations when urgent email responses are needed from business owner, with proposed next steps (don’t bring a problem without a solution).
- Track and manage SOPs, projects, and client communications with minimal supervision. Translate founder feedback into updated processes—without handholding
- Help business owner with the sales/consultation process: Ensure people who sign up for consultations are qualified and eligible. Handle text follow-ups and objections with sales leads who completed consultations. Reschedule consultations as needed.
- Client engagement: Onboard new clients to our systems. Help more clients get through the full program by following up with disengaged clients. Follow up with invitations to complete surveys and leave reviews after completing the program
- Inbound sales inquiries: Respond to emails, Linkedin messages, and social media messages requesting more information and clarification about services.
- Prioritize and manage daily workflows (inbox, scheduling, client responses, follow-ups)
- Repost daily reels to IG/TikTok/Linkedin/IG
Additional Tasks and Projects on an Ad-Hoc Basis (You will be following processes for these tasks):
- Respond to inquiries and messages on social media inboxes
- Download and organize past Tiktok reels into database to repurpose.
- Troubleshoot login issues with ThriveCart learning platform or missed payments i
- Update ActiveCampaign automation flows
