About the Role
The client is hiring an Operations Support/Manager to be the operational backbone of the company. This person will coordinate daily activities, maintain documentation and SOPs,
manage vendor relationships, support payroll and budgets, oversee inventory and technology tracking, and ensure every department is aligned and running smoothly. This is a highly versatile role. You are not just managing one function. You are the person who keeps the entire operation organized, documented, and accountable. What You'll Own
• Coordinate daily operational activities to ensure smooth workflow within the company
• Develop and maintain comprehensive documentation of operational procedures and processes (SOPs)
• Monitor and analyze key performance indicators (KPIs) to identify areas for improvement
• Schedule and organize meetings, appointments, and events to support operational efficiency
• Oversee inventory management, ensuring accurate tracking and timely replenishment of supplies and technology
• Implement and maintain systems for tracking and reporting operational data
• Assist in the preparation and management of budgets and financial reports
• Facilitate cross-departmental collaboration to enhance operational effectiveness
• Manage vendor relationships and negotiate contracts to optimize service delivery
• Support payroll management by ensuring accurate and timely processing of employee/contractor data
• Manage the internal recruitment process, including coordinating hiring workflows and onboarding new team members
What We're Looking For
• 3+ years of experience in operations management, office administration, executive assistance, or a similar role that required owning processes across multiple functions
• Excellent English communication (C1 to C2 level). You will coordinate across teams and interact with leadership and vendors regularly
• Strong organizational skills. You are the person who creates the system, not the person who needs one to function
• Experience creating and maintaining SOPs and operational documentation
• Vendor management experience. Comfortable negotiating contracts and managing ongoing vendor relationships
• Budget and payroll exposure. Does not need to be an accountant, but should be comfortable supporting financial processes
• KPI-driven. Naturally monitors metrics and identifies areas for improvement without being asked
• Tech-savvy. Comfortable with Google Suite, project management tools (Monday.com, Asana, ClickUp), CRMs, and learning new platforms quickly
• Self-directed and reliable. Can work independently in a remote environment and keep things on track without constant oversight
• Cross-functional collaborator. Enjoys working across departments and keeping everyone aligned
Nice to Have
• Experience in the housing, real estate, hospitality, or insurance industries
• Background in team leadership or managing small teams (5 to 15 people)
• Familiarity with internal recruitment processes and onboarding
• Experience supporting executive leadership (EA background is a plus)
• Digital marketing or data management exposure
