Position Overview:
We are seeking a seasoned and highly organized Administrative Assistant to support a senior director and several other leadership team members within a large infrastructure and technology group. This role requires strong calendar management skills, the ability to multitask in a dynamic, fast-paced environment, and a proactive approach to supporting high-level executives.
Key Responsibilities:
- Manage multiple executive calendars, coordinate meetings, and ensure scheduling alignment.
- Book travel arrangements, including airfare and hotel reservations, for leaders traveling to various sites.
- Submit and track expense reports on behalf of supported team members.
- Assist with onboarding new hires by coordinating access requests and general setup tasks.
- Collaborate with other administrative team members supporting a department of over 200 employees.
- Organize weekly team meetings and executive staff touchpoints.
- Provide general administrative support and contribute to ad hoc projects as needed.
Required Qualifications:
- High school diploma required.
- Minimum of 5 years of administrative support experience.
- Proven ability to manage multiple calendars and competing priorities.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, Calendar, Teams).
- Excellent communication and organizational skills.
- Comfortable working independently in a remote, fast-paced environment.
Preferred Qualifications:
- Experience using collaboration tools such as Slack.
- Familiarity with Salesforce or other enterprise tools.
- Quick learner with adaptability to proprietary tools and platforms.
