Job Overview:

We are looking for a highly organized, detail-oriented Remote Administrative Assistant with a background or training in the Jane App system to support client operations in the healthcare or wellness industry. The ideal candidate will serve as the backbone of day-to-day administrative tasks, ensuring smooth scheduling, documentation, and client communication. This role is suited for individuals who are proactive, tech-savvy, and confident working within systems that support medical or wellness practices.


Key Responsibilities:

  • Manage and maintain client schedules, bookings, and reminders using Jane App
  • Provide administrative support for intake processes, client forms, and document handling
  • Coordinate with clients and internal teams to ensure timely updates and smooth communication
  • Monitor emails, voicemails, and online inquiries, responding professionally and promptly
  • Ensure data integrity and confidentiality in line with industry compliance standards
  • Generate simple reports and summaries from Jane App for operational visibility
  • Support onboarding of new clients into the system and help troubleshoot basic platform issues
  • Collaborate with team members across different time zones and roles


Qualifications:

  • Proven experience or certification/training in using Jane App
  • 1 to 2 years of experience in an administrative, operations, or client-facing support role
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Comfortable with remote work tools such as Google Workspace, Zoom, and Slack
  • High level of professionalism, reliability, and discretion


Preferred Qualifications:

  • Background in healthcare, wellness, or clinical administrative support
  • Experience working with international teams or virtual clients
  • Familiarity with data privacy practices (e.g., HIPAA, PHIPA)

Tools & Systems You’ll Use

  • Jane App – core platform for scheduling, records, and client communications
  • Google Workspace – for email, calendar coordination, file management (Docs, Sheets, Drive)
  • Airtable – for managing internal task trackers or shared dashboards
  • Calendly – for managing booking links and availability
  • Jira (basic use) – to log support tickets or workflow updates internally

Note: Training or onboarding for internal systems will be provided, but familiarity with cloud-based platforms and remote tools is required.
