We are currently in search of a CME and Assessment Coordinator for a Medical School (which is located in Chicago, IL). This is a Part-Time, Fully Remote, Temporary (~3-6 months) assignment. NOTE: You must reside within the Chicagoland area to be considered for the role.

Is This Your Dream Job? The CME and Assessment Coordinator will provide overall support to the Manager of Professional Development position with the implementation and production for educational programming at conferences, workshops, courses, and hybrid activities, including those developed through joint providership. Collects and compiles all documentation required for relevant educational programs to ensure compliance with the requirements of accredited CME providers. Coordinates formative assessment exams and item writing in support of resident training. Coordinates the poster process for students and residents, including any live presentation of posters.
Our Ideal Candidate:
- Bachelor’s degree in association management, education, communications, or related field preferred

2+ years of experience supporting association professional development, or equivalent or comparable experience
- CME/CE program experience preferred
- Self-starter with excellent time management skills and ability to multitask and prioritize work
- Excellent customer service skills required
- Accuracy and attention to detail, problem-solving, and written and verbal communication skills
- Ability to think creatively and strategically as part of a team.
- Technologically savvy and proficient in MS Office, Adobe, association management systems, and/or Salesforce databases (e.g., Nimble), online meeting platforms, and have the ability to learn new technologies
- Ability to work effectively with varied people to facilitate the completion of the work
- Possess organizational skills and the ability to prioritize assignments and coordinate projects, including monitoring the progress of tasks and projects, and providing follow-up to the supervisor
- Demonstrated willingness and ability to incorporate AI tools and technologies into daily work processes to enhance efficiency, productivity, and impact.
How You Will Spend Your Day:
CME Documentation & Administrative Support (ACOFP Activities)
- Upload CME rosters into TraCME when available
- Ensure activity detail alignment between Nimble and TraCME
- Process errors in Nimble CEU reports & upload to TraCME
- Collect, organize, and file CME activity materials from 2025/2026 to date
- Coordinate submission of CME attendance rosters from 2025
- Track and follow up on missing CME documentation from 2025/2026 to date
- PARS End of Year Reporting (due 3/31/26)
- Prepare CME certificates using existing templates, as needed
Joint Providership Activities Administrative Tasks
- Collect, organize, and file CME activity materials from 2025/2026 to date
- Track and follow up on missing documentation from 2025
- Organize files for JP activities from 2025
- Create invoices in Nimble and send out for 2025 activities
- Send out reminders for balance due invoices
- Request summary reports and CME attendance rosters from 2025 activities
- PARS End of Year Reporting (due 3/31/26)
Annual Convention Administrative Tasks
- Track completion of required presenter forms and send reminders (Cadmium)
- Assist with reimbursement/travel stipend preparation
- Organize and proof presenter bios, disclosures, and session information (Cadmium)
- From Education Harvester to EventScribe
- Upload handouts and materials to the appropriate sessions (Cadmium)
- Set up a process to schedule recordings
- Schedule recordings in Zoom for on-demand sessions
- Convert slides to the correct format as needed
- Prepare moderator scripts with session information (based on prior year templates)
- Coordinate schedules for poster virtual judging
- Coordinate slide reviews with appropriate WGs/Committees
Inbox Monitoring & Task Routing
- Monitor shared department inboxes and route inquiries to internal staff
- Track open items and follow up on pending requests
- Acknowledge inquiry receipt using prepared templates
Formative Assessment Logistics Support
- Send out reminders for balance due invoices
- Send out assessment results upon request
- Send out assessment documentation upon request
Speaker Database
- Update speaker database with presenters from the previous 3 years (AC, OMED, eLearning)
- Grant and OMT Next Level Administrative Tasks
- Prepare MOUs for collaborative session/workshop
- Send out MOUs via Adobe for signatures
- Create invoices in Nimble, as needed
Data & Records Management
- Update content repositories and procedural documents, as needed
- Ensure version control and organize departmental files as directed
- Update relevant SOPs, as needed
Event Logistics & Operations Support
- Prepare administrative materials for Annual Convention/affiliates as needed
- Assist with onsite workflows as needed (registration desk, handouts, sign-in sheets)
- Coordinate shipment tracking and vendor confirmations at a task level
