SUMMARY OF DUTIES:

The Commercial Property Manager is responsible for serving as the onsite Property Manager for certain assigned properties. Collaborate with Asset Management and other onsite staff to track their assigned portfolio & operational & financial performance. Assist in the preparation of reports to senior management, lenders, and regulators, as the case may be.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned as required.

 Responsible for the day-to-day operations & maintenance of assigned properties. Maintain onsite management office.

 Review & study leases for each property to gain full insight of tenant vs. landlord responsibilities.

 Oversee leasing operations.

 Contact delinquent payers with communication & regular follow-up, create payment plans as necessary and approved by asset management.

 Follow up on the submission of collection status.

 Review & study leases for differences such as multiyear leases, & CPI index increases, & identify differences in each lease as it pertains to gross, industrial, retail, commercial, NNN, etc.

 Familiarize all verbiage, & lease protocol either tenant or property-specific.

 Review in-depth financials of each property.

 Perform variance report monthly for a full understanding of operating expenses.

 Review vendor contracts. Ensure vendor contract standards & expectations for each property are being met.

 Set clear, concise, specific guidelines for APM, vendors, & maintenance – APM to aid as directed by PM.

 Analysis of market survey, surrounding properties, familiarity &; establish rapport with brokers & affiliates.

 Review compliance of all buildings.

 Ensure and review preventative maintenance plans for all buildings.

 Create schedule for vendor preventative maintenance & janitorial maintenance.

 Review all past, current, and recurring expenses.

 Identify all costs, & ensure we are optimizing resources to generate maximum revenue.

 Obtain additional quotes for recurring costs of each property that could save the portfolio money and maximize revenue.

 Create Budget forecast for the portfolio.

 Review & enforce all handbook policies and operation manuals.

 Review Common Area Maintenance (CAM) charges. Ensure that each lease responsible for CAM is being charged an accurate forecast of expenses. Implement the CAM template/spreadsheet once information is reviewed and gathered. CAM reconciliation letters/credits.

 Review R drive to forecast upcoming projects needed for annual budgets & gather a thorough knowledge of Portfolio operations.

 Keep track of all capital expenses of each property.

 Oversight, identification, communication, & resolution of complex tenant issues involving financial or legal matters.

 Perform weekly visual inspections of all assets in the portfolio, identify areas needing improvement, create suggestions, &offer ideas or advice for projects that pertain to the longevity of assets.

 Give directives to APM and maintenance in gathering the required information for all current or future projected projects.

 Review compliance of all leases & files to Yardi and company-managed software/servers.

 Review compliance of vendor insurance.

 Review systems/technology in place, additional software components, & propose effective solutions for administrative internal processes that would save time & money.

 Effective communication with asset management on all current projects & pending items within the portfolio & statistical presentation of all above monthly analyses.

 Monthly discussion with asset management pertinent to the PM’s findings, suggestions, & identifications for areas requiring attention.

 Approve closing statements.

 Negotiate, execute, & monitor, under the direction of Asset Management staff, all necessary vendor contracts for the assigned properties.

 Assist tenants with needs/questions and address any concerns.

 Review and approve invoices.

 Monitor & follow-up on collections, evictions, aged delinquencies. Administer delinquent receivable collections and coordinate appropriate legal actions to collect delinquent funds and to gain possession of delinquent tenants’ units.

 Perform market surveys, monitor & adjust rates, discuss rates/trends/leasing activity with brokers, property managers, & senior management.

 Prepare Quarterly Market Performance Report (Turnover Report) for the portfolio.

 Input pertinent data in monthly draft of lease renewal report.

 Accounts receivable, including process rent payments from scanning, assigning, & apply to Yardi from Rentpayment.com.

 Monitor Craigslist LoopNet in the absence of APM.

 Monitor third-party leasing vendors including checking their websites for accurate availability.

 Lead Spring/Fall property tours with senior management. Address items noted during the tour.

 Oversee capital projects & property maintenance/repairs

 Oversee tenant improvement projects (if any). Ensure appropriate paperwork is completed (permits, owner approval, notice of non-responsibility, etc.)

 Monitor the use of PO’s. (establish checks & balances)

 Approve and sign vendor contracts.

 Conduct weekly property walks. Follow-up with maintenance, APM, vendors, and tenants for items that need to be addressed.

 Supervise APM and direct two maintenance staff.

 On Call 24/7 for emergency and urgent matters that cannot wait till next business day.

 Prepare weekly Flash report

 Maintain calendar in Outlook in the absence of APM.

 Provide timely and professional responses to tenant requests

 Plan and conduct tenant events, as requested by Management

 Assist tenants with needs/questions and address any concerns. Serve as the property-level contact for the Company

 Participate in special projects periodically assigned by Management

 Perform job-associated administrative duties, such as updating company materials.

 Regularly inspect for safety and curb appeal during property visits.

 Keep agendas, checklists, timelines, notes & files relative to all property management affairs.

 Tour spaces with prospective tenants in the absence of APM.

 Conduct Move-in/Move-out inspections in the absence of APM.

 Provide regular written and oral status reports plus ad hoc reports on request.

 Monitor enforcement of Company policies and report deficiencies, if observed.

 Attend relevant industry and professional conferences and classes on request.

 As-needed tasks and special projects as directed by Asset Manager.

 Maintain a courteous, helpful, and professional attitude on the job. Display a willingness and ability to be responsive to all customer groups.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. DESIRED COMPETENCY, EDUCATION and/or EXPERIENCE

 A 4-year college degree is preferred. A minimum of 5 years of experience in commercial real estate property management.

 The candidate must be well acquainted with compliance and regulatory issues, especially as regards to commercial / light-industrial industry.

 Strong organizer and planner who sets goals and conveys them effectively, who can motivate and be an example to others.

 Ability to work well as a leader in a shared office environment.

 Ability to solve practical problems.

 Excellent written and oral communication skills are required.

 Detail-oriented, a learner and problem-solver with an active, curious intellect.

 Provide solid references.

 Possess a current California Real Estate Broker’s License or Real Estate Salesperson’s License, or are willing to obtain one.

 A current and valid California driver’s license is required.

 Must have command of Microsoft Word and Excel. Familiarity with e-mail systems, calendar & database programs is required. YARDI & LoopNet experience strongly preferred.

Pay: From $120,000.00 per year
