What we're looking for 

A fast-growing US-based food brand, one of the top-ranked in its category and present in hundreds of stores nationwide, is looking for a detail-driven Logistics Operations Associate to join their remote team. They are scaling fast, adding new SKUs, retailers, and markets every quarter, and they need someone who can keep the operational engine running without missing a beat.


What You’ll Be Doing

  • Manage approximately 150 Purchase Orders per month through an EDI portal, tracking each from receipt to shipment with zero delays or gaps. 
  • Book and coordinate freight across multiple carriers, comparing quotes, confirming bookings, and proactively flagging late or at-risk deliveries.
  • Maintain clean, accurate order records across internal systems, adding status updates, delay notes, and exception logs so every stakeholder has full visibility.
  • Coordinate inbound and outbound shipment scheduling with co-manufacturers, warehouse partners, and vendors, including advance shipment notifications and confirmations.
  • Support distributor order management with major accounts, confirming pickup dates, communicating delays, and escalating issues with a solution attached.
  • Assist with invoice pre-approval twice a week, verifying vendor names, amounts, and invoice numbers before routing for approval.


Requirements

  • Prior experience in operations, logistics, or supply chain coordination.
  • Tech-savvy and quick to adopt new tools, with hands-on experience in platforms like Smartsheet, Asana, or similar project management tools.
  • Excellent written and spoken English, clear and professional.
  • High sense of urgency and ownership, things in your queue get done.
  • Fluency with AI tools (Claude or similar) as part of your daily workflow.
  • Comfortable working US Central Hours (8 AM to 4 PM).


Nice to Have

  • Experience with SPS Commerce or EDI portals.
  • Background in food, CPG, or manufacturing environments.
  • Familiarity with Bill.com or similar invoice management tools.
  • Startup or high-growth company experience.
