We are currently searching for a Program Specialist for a Healthcare Association located in Arlington, VA. This is a  Full-Time, Hybrid, Temporary assignment (through June 30, 2026).

 

ORGANIZATION TYPE: Healthcare Association

LOCATION: Hybrid (3 days remote, onsite 2 days a week in Arlington, VA)

POSITION TITLE: Program Specialist

SCHEDULE: M-F, 8:30 AM-5:00 PM

DURATION: Temporary (through June 30, 2026)

HOURLY PAY: $23-24/hour

 

Is This Your Dream Job: The Program Specialist will provide administrative support and technical assistance to subgrantees. Key responsibilities include monitoring the general Senior Community Service Employment Program (SCSEP) email inbox and reviewing and escalating requests for assistance, serving as the point person for Zengine subgrantee management, reviewing reports to identify deviations from expected performance, populating templates for annual and site monitoring reports, and providing administrative support such as meeting scheduling and invoice processing.

 

Our Ideal Candidate:


  • Bachelor’s degree and 2-3 years of relevant experience in employment and training programs
  • Experience supporting nonprofit or grant-funded programs, including tasks such as tracking outcomes, organizing reports, and assisting with day-to-day program operations
  • Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) and web-based assessment tools (e.g., Salesforce, GPMS)
  • Strong project coordination and administrative skills, including the ability to manage multiple tasks, stay organized, and support basic tracking and reporting of program and grant outcomes
  • Excellent attention to detail and accuracy when handling multiple tasks and priorities
  • Strong oral and written communication skills
  • Effective time management and organizational skills
  • Outstanding customer service and interpersonal skills
  • Ability to work independently as well as collaboratively in a team environment
  • Experience working with mature individuals, minority populations, and low-income communities strongly preferred
  • Occasionally required to lift light weights (less than 25 pounds)


How You Will Spend Your Day:


  • Learn and apply SCSEP policies, procedures, and processes by working closely with the Workforce Team
  • Monitor and escalate incoming messages to the SCSEP email inbox
  • Provide basic technical assistance to subgrantees as knowledge of SCSEP grows
  • Review subgrantee quarterly narrative reports to identify highlights for the organization's quarterly reports to the Department of Labor
  • Learn and use the organization's Cumulus case management database and the Department of Labor Grant Performance Management System database
  • Learn and use Zengine, the organization's tool for subgrantee administrative management, including issuing documents from the portal
  • Track timely reporting by subgrantees and review reports for deviations from expected performance
  • Populate annual and site monitoring report templates with basic data for further input from other staff
  • Provide customer service and clerical support to the SCSEP HQ team, including data entry, maintaining documents, updating handbooks, and handling job-seeker phone inquiries
  • Assist with scheduling appointments, meetings, trainings, conferences, teleconferences, and travel
  • Perform other responsibilities as assigned
