Scheduling Coordinator

Job Type: Full Time, Monday - Friday, Day shift.

Location: Fair Lawn, NJ.

The Scheduling Coordinator is responsible for managing and coordinating care partner schedules, ensuring seamless client coverage, handling staffing needs, providing exceptional customer service, and supporting recruitment, onboarding, and compliance in a home healthcare environment.

Duties and Responsibilities:

  • Act as the primary contact for care partners, resolving issues and managing clinical/paraprofessional staff schedules.
  • Coordinate client schedules, including shift assignments, callouts, and availability, while ensuring accurate documentation in WellSky.
  • Secure and allocate per diem staff to address scheduling gaps.
  • Assign new clients to the most appropriate care partner based on non-medical needs.
  • Maintain and distribute employee and client rosters.
  • Assist with onboarding, training, and compliance of care partners.
  • Provide exceptional customer service through professional communication.
  • Maintain and update personnel records, track missed clock-ins/outs, and process time-off requests.
  • Support recruitment by scheduling interviews and tracking new hire documentation.
  • Handle reports on shift status, retention, and related metrics.
  • Participate in nursing meetings and maintain accurate documentation in WellSky.
  • Ensure coverage for on-call shifts, including weekends and holidays, and address urgent client issues.
  • Communicate schedule changes to healthcare personnel and clients.
  • Build strong client relationships to enhance service quality and retention.
  • Maintain confidentiality and uphold company policies.
  • Perform additional tasks as assigned.

Qualifications and Requirements:

  • Experience in fast-paced, high-volume environments with strict deadlines.
  • Strong ability to prioritize, problem-solve, and stay organized.
  • Excellent communication and customer service skills.
  • Minimum 1+ year of experience as a home healthcare agency scheduler.
  • Detail-oriented, proactive, and highly motivated.
