A mission-driven nonprofit is seeking an Executive Assistant who will serve as a dynamic and highly organized professional responsible for supporting executive leadership while overseeing key business management, office administration, and event coordination functions. This is a full-time, Hybrid, temporary role, located in Lawrence Township, New Jersey.

POSITION TITLE: Executive Assistant

SCHEDULE: Hybrid. Fridays are remote; candidates can choose the other remote day. 

Time: 8:30 am - 4:30 pm

DURATION: Temporary - 5 months

Pay- $29- $30/hr

This role manages day-to-day office operations, coordinates schedules and communications, supports organizational projects and business processes, and plans internal and external events to ensure smooth and efficient operations. The ideal candidate is proactive, detail-oriented, adaptable, and capable of handling multiple priorities in a fast-paced environment with professionalism and discretion.

 


 Our Ideal Candidate:


  • 4 years of senior-level management and operations experience or equivalent combination of education and work experience
  • ADP or QuickBooks experience
  • Payroll experience
  • Knowledge of non-profit management
  •  Flexibility combined with the ability to multi-task with effective problem solving and communication skills.
  • Ability and commitment to listen and communicate effectively with Board, staff, and outside vendors and funders.
  • Event management experience is a plus


How You Will Spend Your Day:


  •  Maintain agency records, policies, bylaws, insurance certificates, and the tenant lease; manage commercial insurance and workers' comp/vehicle claims.
  • Oversee office calendars, mail, postage, and the purchase of office and program supplies.
  • Review and approve credit card charges, vendor invoices, and submissions from program managers.
  • Track agency hardware and portable technology in the equipment database.
  • Process biweekly payroll and staff onboarding through ADP.
  • Maintain personnel records (attendance, new hires, terminations, salary changes, MVR and compliance forms) and keep the Employee Personnel Policy Manual current.
  • Manage building maintenance, security and entry systems, fire inspections, vendor contracts, and the master key set.
  • Serve as tenant liaison, collecting monthly rent and coordinating building repairs and upgrades.
  •  Work with the IT vendor to ensure reliable network, email, and software access; maintain system passwords.
  • Support the Board of Trustees and committees: maintain contact lists, attend meetings, record minutes, and follow up on requests.
  • Coordinate the annual fundraising event and other special events, from venue and sponsors to night-of logistics.
  • Assemble, format, and review documents for government grant submissions.
  • Perform other related duties as assigned by the Executive Director.
