We are seeking a Temporary, Part-time Database Management Specialist. The associate is responsible for the accurate, complete, and efficient entry and maintenance of constituent, membership, gift, and pledge information in Raiser’s Edge, the Institute's system of record. This is an in-person, Part-Time, Temporary role.


ORGANIZATION: Arts Nonprofit

LOCATION: Chicago Loop

POSITION TITLE: Database Management Specialist

SCHEDULE: 21 hours/week - 3 days in person- Wednesday, Thursday, and Friday 9-5

DURATION: September 2026 -August 2027

Pay: $21/hr - $25/hr

 Our Ideal Candidate:

  • 2 years of experience using Raiser’s Edge, including gift processing
  • Demonstrated data entry and information processing skills, including accuracy and speed.
  • Experience with direct mail coding is preferred.
  • Knowledge of gift transactions, financial controls, and regulatory requirements; knowledge of membership transaction processing preferred.
  • Some experience with document imaging, gift processing, and/or database management in a non-profit environment.
  • Excellent spoken and written English language skills
  • Hands-on experience with fundraising databases.
  • Hands-on experience with importing, exporting, and integrating data from multiple systems.
  • Required proficiency in the basics of Microsoft Word and Excel.
  • Knowledge of IOM is a plus.
  • Abides by internal and external codes of ethics and confidentiality



How You Will Spend Your Day:

  • Day-to-day duties include entry and maintenance of gift, pledge, and membership information on constituents.
  • Importing, downloading, sorting, and batching gifts and pledges in accordance with departmental procedures
  •  Accurately determining all information related to each specific gift and pledge, including type, source of gifts, accounts to be credited, donors to be receipted, associated donors, premiums, honoraria, and memorials, appeal codes, funds, campaign codes, and affiliations.
  • Combining duplicate membership records when appropriate, to yield the most accurate representation of a member’s current standing.
  • Receiving and processing matching gift forms from donors
  • Entry, proofing, and balancing of gifts, including matching gifts
  • Performs the accurate, complete, and efficient entry or uploading of biographical data and all gift and pledge transactions into Raiser’s Edge.
  •  Meets and maintains the prescribed timeline of 1-2 days after receipt for completing all entries, except as otherwise defined and determined by the Director.
