We are currently in search of a Sales Operations Administrator for a Sustainability Nonprofit. The position is Remote with possible visits to the NYC office on an infrequent basisThis is a part-time, temporary position (possibility of conversion to a more permanent role if need dictates for the right candidate). 

  

ORGANIZATION TYPE: Sustainability Nonprofit 

LOCATION: Remote (Candidate must be based in New York or New Jersey) 

POSITION TITLE: Sales Operations Administrator 

SCHEDULE: Part-time, 20 hours/week, Tues & Wed required, rest of time flexible split between Mon & Thurs, Friday off 

DURATION: Temporary (Ongoing) 

HOURLY RATE: $24.00 - $25.00 

  

Is This Your Dream Job? The organization is seeking a highly organized and detail-oriented Sales Operations Administrator to support the Business Development team. This role is critical to ensuring that the organization’s financing pipeline operates efficiently, transparently, and in alignment with internal policies and external reporting requirements. The Sales Operations Administrator reports to the Associate Director of Business Development. This position manages core sales operations processes, maintain pipeline and CRM data, support coordination across internal teams, and help translate the organization’s market activity into accurate reporting and insights. 

  

Our Ideal Candidate: 

  • 2 to 4+ years of professional experience in administrative functions required 
  • Experience with CRM/database systems such as Salesforce or similar required 
  • Background in sales support/operations or related roles is a plus 
  • Interest in energy efficiency, climate finance, or mission-driven lending is a plus 

 

How You Will Spend Your Day: 

  • Maintain and administer the organization’s Salesforce and deal tracking systems, ensuring accurate and timely data entry. 
  • Manage intake of new financing inquiries and support opportunity screening. 
  • Track deal milestones and documentation status from lead through closing. 
  • Prepare pipeline summaries, dashboards, and reports for internal and external use. 
  • Track and support follow-ups with new connections developed through conferences and events to support pipeline development. 
  • Support preparation and organization of term sheets, commitment letters, and pre-closing documentation. 
  • Maintain standardized templates, checklists, and sales process documentation. 
  • Coordinate scheduling and meeting preparation for the Business Development team. 
  • Assist with contract administration and post-closing documentation tracking. 
  • Assist with general administrative tasks, as needed.  
  • Ensure data integrity across sales, impact, and financial reporting systems. 
  • Support analysis of origination activity by product, sector, and impact category. 
  • Assist in responding to data requests from funders and public partners. 
  • Identify opportunities to streamline sales operations workflows.
