We are currently in search of an Executive Assistant for a Social Services organization located in Newark, NJ (Downtown). This is a Full-Time, Hybrid, Temporary assignment.

SCHEDULE: Hybrid (In office Monday-Thursday, remote on Friday); 37.5 hours/week

HOURLY RATE: $26-28/hr. DOE
Is This Your Dream Job? Reporting to the Director of Parent and Professional Development and the Senior Director of Program Management, the Executive Assistant provides strategic administrative support, helping to streamline operations and enhance team effectiveness
Our Ideal Candidate:
- 2+ years of experience providing executive and leadership support
- Proficient in MS Office Suite, Zoom, and CRM systems
- Demonstrated expertise in calendar management and scheduling
- Excellent communication skills and ability to handle phone calls and messages with professionalism and efficiency
- Strong organizational skills with the ability to prioritize tasks effectively
- Experience in making travel arrangements and managing travel documents
- Detail-oriented and capable of handling various administrative tasks with accuracy and timeliness
- Ability to maintain composure and focus during complicated and high-pressure situations
How You Will Spend Your Day:
- Manage calendars for the Director of Parent and Professional Development and Senior Director of Program Management, including confirming meetings, reserving meeting spaces, resolving scheduling conflicts, and providing timely reminders and updates to ensure seamless daily operations
- Screen and manage all incoming phone calls and messages, directing them to appropriate parties and handling time-sensitive matters promptly
- Coordinate travel arrangements, ensuring all necessary documents are in order and available as required
- Handle various administrative tasks, including payment authorization forms, expense reports, pre-travel requests, and document preparation
- Assist in the preparation of presentation materials
- Collaborate with departments internally to ensure the timely handling of paperwork, invoices, and other procedural tasks
- Coordinate the preparation, proofreading, production, and distribution of reports, agendas, presentations, and other documents as needed
- Maintain a calm demeanor and prioritize tasks effectively, understanding the urgency and time sensitivity of various responsibilities
