The E-Billing Specialist is responsible for the administration and management of the electronic billing process for all e-billed clients. The E-Billing Specialist maintains responsibility for ensuring the timely and successful electronic transmission of all invoices, maintaining contact with the billing attorneys and their legal administrative assistants (LAA’s)regarding the status of invoices, and performing other accounting duties according to the established policies and procedures.
This position is eligible to participate in the firm's flexible work program.
RESPONSIBILITIES/ESSENTIAL FUNCTIONS:
- Prepare electronic invoices according to the client’s outside counsel guidelines and provide quality control checks
- Transmit invoices electronically and monitor invoice statuses
- Communicate with billing attorneys and LAA’s on rejections and adjustments and resubmit adjusted or rejected invoices
- Update billing rates and new timekeepers in client ebilling vendor sites
- Input matter budgets and obtain matter id’s from the clients, billing attorneys or LAA’s needed to e-bill invoices
- Responsible for onboarding clients migrating to e-billing including set ups in Financial Management System and integrating with BillBlast.
- Responsible for onboarding the firm on new e-billing vendor sites as needed and integrating with BillBlast
- Update e-billing data, such as budgets, rates, timekeepers and disbursement mapping
- Identify, recommend, and implement enhancements and troubleshoot electronic billing issues
- Communicate all e-billing guidelines and updates to the billing team and ensure compliance with all e-billing guidelines across clients and e-billing systems
- Meet with billing attorneys or LAA’s to discuss electronic billing processes when requested
- Work with Collections to ensure proactive follow-up on aged invoices submitted electronically
- Assist with special projects as needed
- Meets the department’s expectations to retrieve, read and/or respond to firm and client-related e-mail messages during and outside of core business and scheduled work hours by connecting a personal mobile device (smartphone or tablet with a data plan) to the firm’s network

- Possesses the attitude of collaboration and sharing
- Willingness to learn and adopt new methodologies
- Flexibility and willingness to respond to issues during and outside of core business hours
EDUCATION AND EXPERIENCE:
- High school diploma required. Accounting degree or college level accounting classes preferred
- Minimum five (5) plus years of related e-billing experience in a law firm required
