We are currently in search of an Administrative Assistant for an Education Foundation. The position is in-person in Brooklyn, NY. This is a Full-time, temporary-to-permanent position.

HOURLY RATE: $24.00 - $26.00
Is This Your Dream Job? The Administrative Assistant will provide essential administrative and operations support for an education-focused foundation that operates within a Brooklyn high school. This role is ideal for someone who is organized, dependable, curious, and comfortable taking on a variety of responsibilities. The Administrative Assistant will serve as one of the first points of contact for students and faculty, answer phone calls, manage mail and scanning, support purchasing and a small faculty grants program, assist with calendars and meetings, and help keep day-to-day operations running smoothly.
Our Ideal Candidate:
· 2+ years of administrative experience required
· Competent with Microsoft applications, including Outlook Calendars, Microsoft Teams, Excel, and file management required
· Experience performing Mail Merges in Microsoft Word required
· Some understanding of databases and comfort learning new database systems required
· Highly organized, consistent, and detail-oriented, particularly when managing purchases and tracking information
· Strong communication skills and comfortable interacting with students, faculty, staff, and visitors
· Curious, resourceful, and not afraid to ask questions or research an answer independently
· Willingness to handle both basic clerical responsibilities and more involved administrative and operations projects required
How You Will Spend Your Day:
· Provide general administrative and clerical support to the foundation's team.
· Serve as a welcoming first point of contact for students, faculty, and visitors and answer the organization's main phone line.
· Receive, sort, and distribute mail and visit the post office approximately one to two times per week.
· Scan, organize, save, and retrieve documents and files.
· Support a faculty grants program by collecting purchase orders, processing purchases, tracking orders, and confirming deliveries.
· Maintain organized records and databases and assist with data entry and updates.
· Use Microsoft Word to perform Mail Merges and prepare documents and correspondence.
· Manage and coordinate calendars using Microsoft Outlook.
· Assist the Executive Director with scheduling and calendar management.
· Take meeting and board minutes and assist with meeting-related administrative tasks.
· Provide administrative support to the Director of Programs and other members of the team.
· Communicate with vendors and school personnel regarding purchases, deliveries, and administrative requests.
· Work independently when needed and proactively identify questions, issues, or tasks that require follow-up.
· Complete required training, including database training, background checks/fingerprinting, and workplace compliance training.
