Our client is seeking a highly organized and detail-oriented Real Estate Bookkeeper to maintain and manage the financial records of their real estate transactions. The ideal candidate will have experience in real estate accounting and be proficient in bookkeeping software, ensuring the financial health of operations through accurate record-keeping, reporting, and financial analysis.


Responsibilities:


Financial Transactions and Data Entry:

  • Record all real estate-related financial transactions including sales, purchases, property management fees, rental income, and expense tracking.
  • Handle accounts payable (AP) and accounts receivable (AR) for all real estate properties.
  • Track rental income, payments, and security deposits for rental properties.
  • Reconcile bank accounts, mortgage accounts, and escrow accounts monthly.

General Ledger and Reporting:

  • Maintain the general ledger, ensuring accuracy in accounts such as property management, commissions, repairs, and maintenance.
  • Generate monthly, quarterly, and annual financial statements (balance sheets, income statements, and cash flow reports).
  • Assist in preparing budget reports and variance analyses.
  • Prepare financial documentation and reports for tax purposes and annual audits.

Accounts Management:

  • Monitor and manage trust accounts, ensuring compliance with real estate trust account regulations.
  • Process payroll for real estate agents and office staff, ensuring proper calculation of commissions, bonuses, and other compensations.
  • Handle vendor payments, track and ensure timely payments to contractors, and manage purchase orders.

Tax and Compliance:

  • Assist with filing property taxes, rental taxes, and other real estate-specific taxes.
  • Prepare and submit necessary documents for audits, working closely with external accountants and tax preparers.
  • Ensure all bookkeeping practices are compliant with local, state, and federal regulations for real estate businesses.

Software and Technology:

  • Use bookkeeping software such as QuickBooks, AppFolio, Yardi, or Buildium to manage and record transactions.
  • Maintain digital and physical records of all financial data, ensuring confidentiality and security.
  • Stay up to date with the latest real estate bookkeeping software and accounting practices.

Communication and Coordination:

  • Collaborate with property managers, real estate agents, and other departments to ensure smooth financial operations.
  • Communicate regularly with clients, tenants, and vendors regarding financial matters such as rent payments, contract billing, and reimbursement processing.
  • Provide financial insights and recommendations to the management team for effective decision-making.

Problem-solving:

  • Investigate and resolve discrepancies or inconsistencies in financial reports.
  • Assist in improving internal financial controls and processes to enhance operational efficiency.


Qualifications:


  • Education: Bachelor's degree in accounting, finance, or a related field (preferred but not required with experience).
  • Experience: Minimum of 2-3 years of bookkeeping experience, preferably within the real estate industry.
  • Experience with real estate-specific accounting software (AppFolio, Buildium, Yardi, etc.) is a plus.
  • Skills: Strong understanding of accounting principles and real estate financial regulations.
  • Proficiency in bookkeeping software (QuickBooks, Excel, etc.).
  • Excellent attention to detail and organizational skills.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Strong communication skills and the ability to collaborate with various departments.
