Our client is seeking a highly organized and proactive Office Operations Manager to oversee the daily administrative functions of our fast-paced commercial construction office. This individual will play a pivotal role in streamlining workflows, ensuring compliance, and supporting project teams from the back office.
Responsibilities:
- Manage daily office operations, including scheduling, supply ordering, and vendor coordination
- Develop and implement administrative systems to support construction project needs
- Liaise with project managers to ensure timely document management and reporting
- Oversee accounts payable/receivable processing and basic bookkeeping
- Assist HR with onboarding, timesheet tracking, and compliance paperwork
- Coordinate internal communications and support executive reporting
- Maintain digital and physical records related to permits, contracts, and project timelines
- Monitor office budget and recommend cost-efficiency measures
- Manage office support staff and foster a collaborative environment
Qualifications:
- Bachelor's degree in Business Administration or related field (preferred)
- 3+ years of experience in office management, ideally in commercial construction or a related industry
- Strong understanding of construction documentation, billing cycles, and project workflows
- Proficiency in office software and construction management tools (e.g. Procore, MS Project)
- Excellent communication, problem-solving, and organizational skills
- Ability to multitask and thrive in deadline-driven environments
