About the Role
Are client is seeking a detail-oriented, compassionate, and organized Intake Coordinator to join our Client Intake Team. This role is essential in creating a positive first impression for clients, ensuring smooth onboarding, collecting required documentation, and coordinating communication between clients, case managers, and internal departments. The ideal candidate is professional, patient, and thrives in a fast-paced environment.
Responsibilities:
- Serve as the primary point of contact for new clients during the intake process.
- Conduct intake interviews to gather necessary information and assess client needs.
- Accurately enter and maintain client information in the company database or CRM system.
- Review and collect documentation required for program eligibility or services.
- Communicate clearly with clients regarding next steps, expectations, and scheduling.
- Collaborate with case managers and other team members to ensure a smooth transition for new clients.
- Maintain confidentiality and adhere to all compliance and privacy guidelines.
- Track and follow up on outstanding information or documents.
- Assist with front desk support as needed, including answering phone calls and emails.
- Identify and escalate urgent client needs to appropriate staff.
Qualifications:
- Previous experience in intake, customer service, administrative support, or a related field (experience in social services or healthcare is a plus).
- Strong interpersonal and communication skills—both verbal and written.
- Excellent organizational skills with the ability to manage multiple tasks at once.
- Comfortable working in a fast-paced environment with consistent client interaction.
- High level of professionalism, empathy, and patience.
- Proficiency with computers, data entry, and office software.
