Job summary

Our client is seeking a highly organized and detail-oriented Office Secretary to provide administrative support to our team. The successful candidate will be responsible for managing day-to-day office operations, ensuring efficient communication with customers and vendors, and performing various administrative tasks.



Key Responsibilities:


1. Administrative Support:


  - Answer and direct phone calls, respond to emails, and greet visitors.

  - Maintain accurate records, files, and databases.

  - Order supplies, manage inventory, and coordinate maintenance.


2. Customer Service:


  - Provide exceptional customer service via phone, email, and in-person.

  - Address customer inquiries, resolve issues, and escalate concerns.


3. Order Management:


  - Accurately enter orders into the system.

  - Verify order details, process payments, and generate invoices.


4. Invoicing and Billing:


  - Prepare, send, and follow up on invoices.

  - Manage accounts receivable and track payments.


5. Communication:


  - Coordinate with internal teams, vendors, and customers.

  - Send notifications, updates, and confirmations.


6. Data Entry:


  - Enter data into various software systems.

  - Maintain data accuracy and integrity.



Requirements:



- High school diploma or equivalent required; associate's or bachelor's degree preferred.

- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks

- Excellent communication, organizational, and time management skills.

- Ability to multitask and prioritize tasks.

- Strong attention to detail.
