We are looking for a dedicated and detail-oriented Secretary to handle administrative and customer service tasks while assisting the sales team with lead generation and proposal preparation. The ideal candidate will have strong organizational skills, excellent communication abilities, and the ability to multitask in a dynamic environment.
Key Responsibilities:
- Scheduling: Manage and coordinate schedules for executives and sales staff, ensuring efficient planning of meetings, appointments, and events.
- Customer Management: Add new customers into the system, maintain accurate records, and assist with inquiries and concerns professionally.
- Proposal Preparation: Draft and format client proposals, ensuring alignment with company standards and sales team needs.
- Lead Generation for Sales Team: Research and identify potential clients, assist in outreach, and maintain an updated database of leads.
- Office Administration: Handle general administrative duties, including answering phones, responding to emails, and maintaining office supplies.
- Commerce & Sales Support: Assist the sales team with managing documents, tracking sales orders, preparing reports, and organizing presentations.
- Customer Service: Provide high-quality support by processing orders, addressing concerns, and resolving issues to enhance customer satisfaction.
- Communication: Act as a liaison between clients, vendors, and internal departments to streamline office workflows.
- Document Management: Maintain organized digital and physical records, ensuring easy access to important files.
Qualifications:
- Proven experience as a Secretary, Administrative Assistant, or similar role.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with customer relationship management (CRM) software is a plus.
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks efficiently and prioritize effectively.
- Strong attention to detail and accuracy.
- Basic knowledge of sales and commerce processes.
